Refund Policy for Events

Notice of Cancellation
Notice of cancellation (e.g., due to sickness, lack of funding, or any other personal reasons) must be made in writing by email to the respective conference secretary. The notification must include all relevant information regarding the bank account to which a possible refund may be remitted (including IBAN and BIC). The cancellation will not be effective until a written acknowledgement from the respective conference secretary is received.

Refund Schedule
Due to advance payments towards the venue, printing, shipping, hotels, and other overheads, refunds will be issued as follows:

  • Before 60 days of the conference: 75% refund
  • Between 60 to 30 days prior to the conference: 25% refund
  • Within 30 days of the conference: 25% refund
  • Airlines, Hotels, and other bookings: Refunds are subject to the rules and regulations of the respective Airlines, Hotels, etc.
  • E-Poster & Video Presentations: Non-refundable
  • Administrative Fee: A standard administrative fee of US $100 will be charged for all refunds.
  • Venue and Location: The venue and location of the events may change in the event of an exigency.
  • International Refunds: The registrant is responsible for the standard currency conversion rate and any applicable bank charges.

The date of the email receipt will be the basis for considering refunds. Refunds will be processed after the conference/summit. In cases of excess payment or double payment, refund requests must be made in writing and sent to the conference secretary.

Non-Refundable Circumstances
No refunds will be granted for unattended summits, cancellations of speakers, lack of space in the conference/summit room, or any other incidents during the conference/summit that are beyond the control of the organizers. By registering for the conference/summit, participants agree that neither the organizing committee nor the conference/summit organizers assume any liability whatsoever.

Refund Methods
Refunds will be made in the following ways:

  • Credit/Debit Cards: For payments received by credit or debit cards, the refund will be made to the same credit/debit card.
  • Bank Transfer: For all other payments, a bank transfer will be made to the payee’s nominated account, and all bank charges will be borne by the registrant.

Air Travel VISA Refusal
In the case of a Air Travel VISA refusal, the paid amount can be transferred to another conference of your choice. Participants who received discounts on the registration fee are not eligible for refunds, except if the event is canceled.

Cancellation/Postponement of Conference/Summit
In the event that the congress cannot be held or is postponed due to circumstances beyond the control of the conference/summit organizers, or due to events that are not attributable to wrongful intent or gross negligence of the congress organizers, the organizers will refund 100% of the registration fee. However, they cannot be held liable by participants for any damages, costs, or losses incurred, such as transportation costs, flight booking cancellation charges, accommodation costs, financial losses, etc.
